Legal Secretary - Float - South West

Job Description: 

Our client is a leading South West law firm seeking a Legal Secretary in a Float capacity in Exeter. This role provides a high quality and flexible range of secretarial and administrative services to the lawyers in the unit to which assigned. The successful candidates will have the flexibility to support all units across the firm and to travel to other offices on occasion as and when business needs require.

Key responsibilities

• Produce accurate typing by means of digital dictation and other means
• Production of a range of documents to support fee earners including complex word documents based on precedents, excel spreadsheets, Powerpoint presentations, basic marketing collateral within an agreed template
• Amending letters and collating letters with enclosures which have been produced by another source and passing to lawyers for signature in readiness for meeting post deadlines
• File management to ensure compliance with Company practices and procedures to include, for example, Lexcel, Code of Conduct, and Anti-Money Laundering
• File opening and accompanying procedures to include production of terms of business letters, confirmation of instruction letters, ID checks and the entering of entities and capacities on each new client/matter file
• Management of diaries for lawyers in the unit to which you have been assigned
• File closing to include all file closing activities
• Routine client telephone enquiries, managing and taking calls on behalf of the lawyers in the unit to which you have been assigned
• Filing and photocopying for lawyers in the unit to which you have been assigned
• Assist lawyers with monthly billing procedures if required
• Input of data into our client relationship management system (Interaction) as required
• Responsible for the work allocated to you by both the unit leader of the unit to which you are assigned and to your Site Secretarial Unit Leader

Who are they looking for?

• Significant experience in providing high quality secretarial support to fee earners in a legal services environment
• Excellent proficiency in the full suite of Microsoft Office (Outlook, Word, Excel and PowerPoint) to an advanced level
• Experience of working on complex documents including using precedent documents and comparison software is essential
• To undertake specific training and professional and skills development in order to meet the needs of the business and be flexible in approach to the way the firm provides secretarial resource to the different legal units throughout the firm
• Ability to achieve tasks quickly and accurately meeting the needs of the lawyers who are in the unit to which assigned
• High attention to detail and excellent organisation skills
• Able to thrive in fast moving and changing work environment and to do well under pressure and to work to tight deadlines whilst also maintaining a high quality service
• Able to quickly build good internal relationships with other secretaries/support staff and also with fee earners and partners
• Able to provide excellent service to client/external enquires (normally by telephone) representing the Company Brand and Values

Experience/working knowledge of other software systems in a similar client facing professional services environment eg: document management, practice management, customer relationship management systems etc would be a distinct advantage

Fully flexible in approach to practical working arrangements eg: team and site
